Job Description

Position title: VP of Facilities, Safety, Security & IT
Reports to: President/CEO
Department: Facilities
Status: Exempt

 

Essential Duties and Responsibilities:

The VP of Facilities, Safety, Security and Technology is responsible for daily operation and maintenance of the museum building and its complex systems for environmental andsecurity controls, as well as maintenance and care of the museum’s seven-acre campus including grounds, landscaping, hardscaping and parking. The VP directly oversees the museum security, safety and loss prevention program, policies and procedures as well as sustainability initiatives. The VP also manages the technology department with the Director of Technology.

Museum Building – Directs building, systems and maintenance. Prepares and submits annual Building Services budget and controls expenditures within the budget. Develops long range plans for modifications or repairs to the facility or campus so funds can be allocated. Purchases and maintains inventory, including janitorial, mechanical, electrical, plumbing, chemical supplies, construction supplies and materials. Monitors and analyzes utility and energy usage and reports as needed.

Security – Provides oversight of museum security for protection of the museum’s collection, facilities, visitors and staff. Develops and monitors policies and procedures according the highest museum industry standards. Overall supervision for the museum’s contract security staff. Maintains and updates security access database granting and restricting electronic entry into secure areas of the museum and maintains control of employee ID badges, keys and Parking ProxCard distribution.

Safety – Oversees Safety Programs, Loss Control Plan, Emergency Procedures, Hazardous Communications Program, Respiratory Protection Program, AED Program and works with insurance carrier representative on loss control and recommendations. Develops and keeps up to date the museum’s crisis management plan. Chairs the museum’s crisis team.

Support – Provides operational support to other departments, including public programs, event set up and tear down, exhibitions and festivals. Serve as a member of the museum’s senior leadership team for strategic planning, budgeting, long-range planning and staff policy. Facilitate cooperation and teamwork among museum departments. Coordinates the museum’s parking needs, security, safety and other matters with the White River State Park and other Park attractions. Chairs the Sustainability Task Force.

Planning – Manages facility project activities including space forecasting, space allocation, internal and installation. Works with key staff, architects, outside contractors, planning committees to coordinate design and specifications for modification or changes to the campus or facility. Acts as a liaison between contractors and the museum. Directs the overall plan for the campus and facility to meet the mission statement of the museum and is the key liaison to the board of director’s Facilities Council. Works with council chairman to prepare agendas and prepare reports and meeting minutes.

Technology – Provide oversight and strategic planning for museum’s technology systems – computers, networks, telephones, office equipment and systems.

Requirements / Qualifications

Education and/or Work Experience Requirements:

  • Bachelor’s Degree in Business Management or Industrial/Facilities Management
  • 10+ years’ experience in building, facility or industrial management
  • 5 – 10 years’ experience in safety and security management
  • A working knowledge and experience in Facilities Management regarding technical systems,
    construction, maintaining large chill water plant such as steam reheat and water treatment, electrical
    systems including digital controls, security, fire protection and motor controls.
  • Knowledge of housekeeping supervision and grounds maintenance
  • Business experience in budgets, vendor contracts, and working with suppliers
  • Ability to work well under pressure and deliver positive results
  • Excellent communication and leadership skills, mission focused and a strategic thinker
  •  A working knowledge of Microsoft Office and facility control systems
  • Excellent organizational skills and a strong sense of attention to details.
  • Contribute to a positive working environment and cooperate with co-workers

Job Description
Position title: Guests Services Coordinator
Reports to: Manager of Guest Services.

Status: Nonexempt

Essential Duties and Responsibilities:

1. Be accountable for the overall comfort/needs of all visitors of the museum.

• Greet and welcome all visitors with warmth, respect, and inclusivity, ensuring everyone feels valued and respected
• Provide assistance and support to visitors with accessibility needs, including but not limited to wheelchair assistance and other accommodation requests
• Contact the museum host of VIP visitors and ensure their comfort while they wait

2. Manage and sustain all clerical duties including:

• Mail processing and delivery
• Coupon listing
• Comment cards and other guests feedback
• Access Pass
• Downtown events calendar
• Check log
• Daily Attendance, Exhibit comparison and Flash Report daily data input
• Maintain office supplies
• Clean and organize North and South admissions and RB Annis
• Maintain rotating schedule for breaks and RB Annis monitoring

3. Actively promote and sell memberships.

4. Collaborate with Marketing on museum promotions and events and educate Guest Services staff.

5. Work with Manager of Guest Services to analyze visitor feedback to identify areas for improvement and implement strategies to enhance guest experience, particular for underrepresented and/or marginalized communities.

6. Answer inbound phone calls politely and provide information as requested and transfer calls to the appropriate museum employee.

7. Assist the Manager of Guest Services with overseeing the daily operations of the admissions desk.

8. Manage the safe fund for Guest Services.

9. Act as a source of information for visitors and staff. Work with other departments to maintain knowledge of our collections, upcoming exhibits, programs, and special events.

10. Assist and train Guest Services staff within RB Annis and Jingle Rails.

11. Assist in the evacuation of the museum during an emergency and ensure the safety of the visitors and others.

Requirements / Qualifications

Education and/or Work Experience Requirements:

  • Minimum 2 years working in a customer service position
  • Computer experience necessary (MS word and Excel)
  • Experience with cash register/ POS terminal
  • Excellent verbal and written communication skills
  • Flexible schedule (must be able to work weekends)
  • Ability to balance many tasks at once
  • Knowledge of American Indians and Western art a plus
  • Contribute to a positive and exciting teamwork environment

Physical Requirements:

Marketing and Communications Internship: Summer 2024

The Eiteljorg Museum of American Indians and Western Art in downtown Indianapolis seeks a highly motivated college student or recent graduate to assist the Marketing and Communications Department in its efforts to promote and raise awareness of the museum’s events, exhibits and programs during summer 2024. Through this paid marketing internship, a student will have the opportunity to learn practical, valuable workplace skills that will bolster any resume. The Eiteljorg Museum is committed to diversity, equity, inclusion and accessibility.

The summer marketing internship lasts from early June to early August 2024. Job Description

Position title: Marketing and Communications Intern
Department: Marketing and Communications

Status: Part-time

The spring internship position helps execute marketing and communications tasks in support of the museum’s marketing goals, strategies and objectives. Major responsibilities include, but are not limited to:

• Assisting the Marketing and Communications staff with tactical creative execution of marketing and communications plans in support of all institutional initiatives, including exhibitions and programs

• Assisting with marketing-related tasks at museum events, outdoors and indoors

• Assisting in maintaining the museum’s daily presence on multiple social media platforms, including Instagram, Facebook, X, LinkedIn and others
• Assist in day-to-day project management and grassroots planning and execution

• Attending intern orientation meetings with key staff, as assigned

• Creating and posting content such as artwork images and captions from future exhibits onto the museum’s web pages, as directed

• Updating multiple online tourism and community calendars with details of museum exhibits and events

• Taking photographs and shooting video of museum events and activities for promotional tools, including editing video and posting it onto the museum website or social media, as needed

• Collaborating with staff from other departments to gather information about upcoming events and exhibits

• Writing items or articles for the museum’s e-newsletter, the Eiteljorg Blog or Storyteller magazine that could involve interviewing the subjects of those articles

• Delivering or distributing printed materials off-site

• Attending regular meetings internally with museum staff and externally with tourism groups to maintain marketing visibility, and other duties as assigned.

The summer internship would last from early June to early August 2024, but can be adjusted to start or finish earlier or later depending on the applicant’s college calendar and requirements. Typically, this position is 12 to 20 hours per week during business hours on weekdays. The applicant also must have the flexibility to work certain required evening and weekend events.

Physical Demands: The internship position is primarily indoors in a climate-controlled office environment where the intern would sit for long periods of computer use. The intern will be required to work outdoors at a few events on museum grounds during the warm summer months.

The museum can schedule internship hours to coordinate around classes or any outside employment commitment the intern might have. The position is based in the Eiteljorg Museum in downtown Indianapolis, and the work is primarily in-person at the museum, not remote.  

Requirements / Qualifications

The applicant should be an enrolled college or university student or recent graduate majoring in public relations, journalism, digital marketing, communications, advertising, tourism or a related field. The applicant should have experience with social media and social media marketing, as well as Microsoft Office software, Adobe Suite software and some experience with photography and video production. Additional experience with website builders and design is preferred.

During the summer 2024 marketing internship, it will be necessary for the intern to work on daylong weekend outdoor events such as the Juneteenth & Jazz Community Celebration on June 15, 2024, and at the two-day Indian Market & Festival on June 22-23, 2024. There might be occasional assignments on other evenings or weekends; such assignments will be scheduled in advance.

Qualities the Eiteljorg Museum seeks in an intern are: dependability, creativity, self-confidence, good verbal and written skills, accuracy and attention to detail, a pleasant demeanor, strong time-management skills, ability to follow specific directions, willingness to take on assignments that have tight deadlines, a flexible schedule, a desire to learn from experienced colleagues and the ability to work cooperatively with people of many backgrounds. The intern must follow all museum policies and procedures.

Additional Information

Rate of pay is $12.50/hour. The intern also will have access to certain cost-saving benefits, including free parking at the museum’s underground parking garage at a prime location in White River State Park in downtown Indianapolis, free admission to the museum and museum programs, and discounts to the museum café and museum store. During the internship, the marketing intern will be able to attend and enjoy the Eiteljorg’s high-quality events. There are many intangible benefits, including the opportunity to interact with and learn from museum executives and staff about the nonprofit world, attend informal orientation sessions, sharpen office workplace skills, build a portfolio, develop a professional network and acquire effective job references.

Although the Eiteljorg Museum cannot guarantee an intern will receive college credit for the internship, the Marketing and Communications staff will be happy to coordinate with the intern’s faculty advisor to provide documentation necessary for the intern to receive academic credit for their work, time and effort.
